Hours and booking calendars
Your hours of operation are the starting point for booking. Set them during setup, or any time in POS settings › Hours & calendars.
- Tick the days you're open and set opening and closing times. Copy Monday's hours to every open day saves typing.
- Leave Update my booking calendars to these hours ticked and press Save hours.
The calendars Rowan sets up
- Main calendar, named for your business type (Salon, Spa or Studio). Clients book a service and it's assigned across your team. It's open during your hours, with 30-minute appointments starting every 15 minutes; change the details in your calendar settings.
- A personal calendar for each team member with a login, so clients can book a specific person. People you add in Staff › Team get theirs right away; people added in your account's own team settings get theirs the next time Staff › Team is opened.
Calendars you already have are kept. If one already has the main calendar's name, Rowan uses it instead of making another. Shops (retail, clothing, record store) don't get a main calendar. Team members without a login can't have a booking calendar.
Missing one? Press Set up missing calendars now in POS settings › Hours & calendars. If Rowan says it isn't allowed to create calendars, update the app so it has the calendars permission.
Calendar colors
Each team member's calendar gets its own color, and the main calendar is gray. Appointments booked with a specific person (online or from the Register) go on that person's calendar, so you can tell at a glance who's booked when. The colors are chosen to stay easy to tell apart, including for colorblind eyes, and each appointment also shows the client's name and service.
To change a color: open Calendars (Appointments), click Calendar settings, open the person's calendar, and pick a new color in its customization settings. Save. Rowan sets each color only once, so your choice stays.
Someone who doesn't take clients
In POS settings › Online booking › Team, untick them. Rowan asks if you'd also like to remove their booking calendar (for a front desk login, for example). If they still have upcoming appointments, choose who should take them and Rowan moves them before removing the calendar. Rowan won't create that calendar again; Give them a calendar brings it back.
Then match calendars to services in POS settings › Calendar services so appointments check out with one tap. See Check out an appointment.
