Staff schedule
The schedule is in Staff › Schedule, a week at a time (Monday to Sunday, the same week overtime uses). Each column shows your hours for that day; closed days are shaded.
- Tap + in a person's row to add a shift. It starts at your opening and closing times; change them and add a note like Front desk or Training if you like.
- Tap a shift to change or remove it.
- Copy last week copies every shift from the week before. Days where that person already has a shift are skipped.
- Print gives a one-page schedule for the break room.
Shifts outside your business hours have a dashed outline. Weekly totals show each person's scheduled hours and flag anyone over 40. Hours actually worked come from the time clock and show under each day, and staff see their shift for the day when they clock in.
Let the schedule decide who clients can book
At the top of the schedule, the account owner can turn on Clients can book each person only during their shifts. Rowan then blocks each team member's calendar during business hours when they aren't scheduled, for the next 6 weeks, and keeps it in step as you add, change or copy shifts. Set your calendars' booking window to 6 weeks or less so clients can't book further out than that. The blocks show on the calendar as "Not scheduled (Rowan)".
Time off
Staff request time off from the time clock: enter your PIN, tap Request time off, choose the days (all day or a time range) and add a reason if you like. Requests appear at the top of the schedule. Review shows any appointments already booked with that person during that time, so you know what to move, then Approve or Don't approve. Staff see the answer the next time they clock in.
Approved time off shows on the schedule and blocks the person's calendar ("Time off (Rowan)"), whether or not the schedule controls booking. Managers can add time off directly with Add time off; it's approved right away. Tap approved time off to cancel it.
Everyone can see the schedule. Changing it needs Make and change the staff schedule, which Managers have by default. See Roles and permissions.
